The University Archives is accepting donations of photographs, personal papers and other items documenting the history of the Clear Lake Area, the University of Houston-Clear Lake, and materials related to Human Space Flight. University of Houston-Clear Lake also seeks monetary donations for the enhancement and expansion of the Archives. As the Archives collections grow, the demand for technology and support increases.

UHCL Archives accepts historically significant records generated or received by university offices on campus, such as minutes, reports, departmental subject files, personal and official correspondence, and photographs. A transmittal form must accompany every donation.

Contact the UHCL Archivist to discuss records for transfer or donation.

Pack the records into a record carton box with a lid and handles.
If you are sending records of distinct offices, committees, or organizations, please do not intermix them. Keep the records in the order in which they were used in your office. Please make sure that records are placed in the boxes in the same order that was maintained in the file cabinet, and that the boxes are sequentially numbered and the original folder headings retained.

Do not remove records from the folders in which they were placed in your filing cabinet; however, do not send us records in hanging files. If records are in hanging files or binders, re-folder them into manila folders.

Confidential materials should be so marked on the folder list for evaluation.

Make a list of the folder titles, with their dates. Include the name of your office on the sheet, and span of years represented by the files. Put this list inside the box and keep a copy for yourself.

Write the full name of your office below the box number on each box. Please do not use acronyms. You may print the information on a separate sheet of paper and tape it to the front of the box.

Print out the Transmittal form, complete the necessary information, sign it, and place the original in the first box. Keep a copy in your files. Your records are now ready for transfer.
